This notice explains how UK Instant Services Ltd, trading as Instant Healthcare UK, 25 Church Gate, Leicester LE1 3AL ("we") uses personal information. We are the data controller.

What we collect

Enquiries: your name, contact details and what you tell us in our forms or in our website chat.
Job applicants and staff: contact details, CV, right-to-work, identity, DBS, references, training and professional registration details.
People we care for: information needed to plan and deliver care, including health information, shared with consent or as permitted by law.

Website chat

Our website chat is answered by an automated assistant. Your chat messages may be processed by our AI provider (Anthropic) to produce answers, and the conversation is stored on our server and sent to our team so we can respond to your enquiry. Please don't share medical records or financial details in the chat.

Why we use it

To respond to enquiries, provide care and staffing services, recruit and employ staff, meet our legal and regulatory duties (including CQC requirements), and run our business.

Legal bases

Contract, legal obligation, legitimate interests and, for health information, the provision of health and social care (UK GDPR Article 9(2)(h)) or explicit consent.

Sharing

With clients (for staff you are booked to work for), regulators, the DBS, payroll and IT providers including our Ronove platform and our AI chat provider, and others where the law requires it. We never sell your data.

How long we keep it

Only as long as needed for the purpose and our legal obligations, in line with our retention schedule.

Your rights

You can ask for access to, correction or deletion of your information, object to or restrict its use, and complain to the Information Commissioner's Office (ico.org.uk). Contact us on 0333 014 4084 or at our office address.
